General Waitlist, Designated Waitlist, and Room (or Dormitory) Change Q&A
★Regular Waitlisting
The university accepts housing waitlist applications throughout the entire academic year. Vacant beds are allocated to waitlisted students sequentially based on their "computerized lottery sequence numbers." Furthermore, please note that a seemingly empty bed may simply belong to a waitlisted student who has been allocated the space but has not yet moved in; therefore, it is not necessarily an available bed space that can be reallocated to another student.
When assigning bed spaces to waitlisted students, the university follows a "first-available placement" approach (allocating rooms in whichever dormitory has an opening). This is because highly requested dormitories may not have vacancies at the time of your turn. In this scenario, it is entirely possible that a vacancy in Seventh Dorm only opens up after you have already been assigned to another dormitory. Consequently, a student with a later waitlist sequence number might happen to be allocated to Seventh Dorm first. If a waitlisted student strongly prefers to live in Seventh Dorm, please submit an application in accordance with the university’s room/dorm transfer regulations.
Waitlisted students and students applying for room/dorm transfers wait in the same queue. Vacant beds are allocated sequentially based on the student's "computerized lottery sequence number." For example: • Case 1: If only 1 bed becomes available in Female Dorm 1, and a waitlisted student with lottery sequence number 1000 wants the bed, while another student with lottery sequence number 0005 simultaneously applies for a transfer to Female Dorm 1; in accordance with regulations, this bed space will be allocated to the student with sequence number 0005. • Case 2: Conversely, if only 1 bed becomes available in Female Dorm 1, and a waitlisted student with lottery sequence number 0327 wants the bed, while another student with lottery sequence number 0988 simultaneously applies for a transfer to Female Dorm 1; in accordance with regulations, this bed space will be allocated to the student with sequence number 0327.
The school will notify you via the email address provided in the system once your waitlist status is confirmed. Please "reply to the email within the deadline (approximately 4 days)" to confirm your accommodation. Your waitlist status will only be considered successful after you reply! Additionally, students must complete the payment for accommodation fees in accordance with regulations; the waitlist process is only truly complete after payment is received.
Students who fail to reply to the email within the deadline (approximately 4 days) will be deemed to have forfeited their waitlist eligibility. If you wish to reapply for the dormitory waitlist in the future, it will be treated as a late application, and a new waitlist number will be assigned to you.
According to the Student Dormitory Management Regulations, once an accommodation application is approved and a bed is assigned, students who fail to pay the accommodation fees within the specified period will be barred from applying for campus housing for the current academic year. Furthermore, their priority rank for campus housing in the following academic year will be lowered by one level. The school will send emails to the address you provided in the Student Housing System. Please ensure that this email account is one you check regularly, will not miss any messages, and will not classify our emails as spam. This will help prevent you from missing notifications sent by the Center, which could result in a forfeiture of your rights.
★Designated Waitlist
"Designated Waitlist" means that students only wish to wait for specific dormitories and will not consider vacant beds in any other dorms. Consequently, vacancies in other dormitories will not be allocated to them. For example, if a student specifies that they are only on the designated waitlist for Female Dormitory No. 1, it means they will not be assigned a bed in any other dormitory except for Female Dormitory No. 1.
Students may email the housing coordinator to request to be placed on the housing waitlist.
In this case, students may inform the school of their preference to waitlist exclusively for Female Dorm 1 and decline the slot at the Female Dorm 1 Branch to continue waiting. However, please note that the school cannot guarantee a spot will become available in your preferred dorm. Furthermore, once you decline the offer for the Female Dorm 1 Branch, this slot will no longer be reserved for you.
In this case, students may move into Female Dorm 1 Branch first, and then submit a room transfer application to remain on the waitlist for Female Dorm 1.
Once you request to waitlist for a specific dormitory, there is no guarantee on the waiting time. Please be aware that other students with a lower waitlist priority may be allocated a room sooner simply because they did not specify a preference.
★Individual Room Transfer
Please visit the Student Housing Service Center website to download the "Dormitory Transfer Application Form (For Current Residents)." Once completed, please submit the form to the Student Housing Service Center (Main Campus or Gongguan Campus) or email it to the housing coordinator. Please read and strictly follow the important notices on the application form.
※Important Notices:
1. Annual Limit: Each student is limited to one room/dorm transfer application (including transfers between different campuses) per academic year,including the summer session.
2.Housing Fees: Room fee refunds or additional charges will be processed in accordance with the Student Housing Counseling Regulations.You may only move into your new room after any remaining balance has been paid in full.
3. Utility Fees: Students must settle dormitory electricity bills (including gas fees for graduate dorms on the Gongguan Campus) privately with their roommates.
4.The application remains valid for the entire academic year.,Once a transfer is approved and announced, it cannot be canceled, as your original slot will immediately be assigned to another student.If you wish to withdraw your application, please notify the housing coordinator as soon as possible.
5. Processing Timeline: During the official move-in period, the office will only collect application forms. All applications will be processed collectively after the move-in period concludes.
6. Notification of Results: Successful transfer results will be posted on the Student Housing Service Center website and sent via email (to the address registered in the housing application system).
★Dorm/Room Switch
Please visit the Student Housing Service Center website to download the "Dormitory Room Swap Application Form (For Current Residents)." Once completed, please submit the form to the Student Housing Service Center (Main Campus or Gongguan Campus) or email it to the housing coordinator. Both parties involved must mutually agree to the swap. Please read and strictly follow the important notices on the application form.
※Important Notices:
1.Each student is limited to one room swap/transfer application per academic year,including the summer session.
2.Housing Fees: Room fee refunds or additional charges will be processed in accordance with the Student Housing Counseling Regulations.You may only move into your new room after any remaining balance has been paid in full.
3. Utility Fees: Students must settle dormitory electricity bills (including gas fees for graduate dorms on the Gongguan Campus) privately with their roommates.
4. Successful room swap results will be sent via email (to the address registered in the housing application system).
5. Processing Timeline: During the official move-in period, the office will only collect application forms. All applications will be processed collectively after the move-in period concludes.
6.Undergraduate freshmen and returning students are not permitted to swap rooms with each other. Additionally, room swaps between undergraduate and graduate/doctoral (postgraduate) students are strictly prohibited.
7. Within one week of receiving the successful room swap notification, students must complete the check-out process for their old room and the check-in process for their new room.
8. Private or unauthorized room swaps are strictly forbidden. Students who wish to swap rooms must apply directly through this center. Any students found to have swapped rooms privately will have their priority status downgraded for future housing applications.
