Summer Housing and Vacant Beds
★Important Notes for Summer Housing
1. Eligibility Criteria
• Applicants must be currently enrolled students of the university. Your official student enrollment status must be "Active" (In School) at the time of application.
2. Application Methods and Deadlines
(1) Regular Application: Please log in to the Student Housing Application System and submit your online application within the designated timeframe.
(2) Late Application (Before the Lottery): If you submit your online application after the official deadline but before the summer housing lottery takes place, it will be deemed a late application. Your application priority will be lowered by one priority rank.
(3) Late Application (After the Lottery): If you submit your online application after the summer housing lottery has been conducted, your application will be processed as a late registration, and you will be placed directly onto the waitlist.
3. Due to limited bed capacity, an approved housing application does not guarantee a summer housing placement. Final room allocation is subject to the results of the computerized housing lottery.
1. Priority Rank Alignment:
For both undergraduate and graduate students, the priority rank for summer housing applications is determined by the academic year application guidelines. Therefore, it is identical to the housing priority used during the regular academic year.
2. System Accuracy and Verification:
Please choose your application priority rank carefully on the Student Housing Application System. If your selected priority is verified to be incorrect or if you fail to submit the required supporting documents, your application will be rejected, and you will be disqualified from participating in the computerized summer housing lottery.
3. Room Allocation Disclaimer:
Due to limited bed capacity, an approved housing application does not guarantee a summer housing placement. Final room allocation is subject to the results of the computerized housing lottery.
After submitting your online housing application, please verify the following:
1. Check for "Application Successful" Status:
Ensure that the words "Application Successful" appear on the Student Housing Application System. This indicates that your online application has been successfully forwarded to the housing coordinator for review. If you do not see this status, it means your application was not submitted correctly, and you must resubmit it online.
2. System Email Notifications:
Once the housing coordinator receives your application, they will officially review it and select either "Approved" or "Not Approved". The system will then automatically send a notification email to the applicant. If you have not received any "Approved" or "Not Approved" notification email after a period of time, your application may not have reached the coordinator. In this case, please contact the housing coordinator immediately to check your status.
3. Verify the Application Status on the System:
After the housing coordinator reviews and processes your application, the status on the Student Housing Application System will update to display either "Approved" or "Not Approved". Applicants must log back into the system to verify this status. If there is no record of an online application showing on the system, your submission was unsuccessful. Please resubmit the application and contact the housing coordinator to ensure it has been received.
Please note that applications for summer housing and academic year accommodation are processed entirely separately. Consequently, applying for or receiving summer housing does not guarantee that you will be allocated a room for the academic year. Applicants must submit separate applications for summer housing, academic year housing, or both, in strict accordance with the relevant regulations.
If an active resident's enrollment status changes to graduated, suspended (leave of absence), or expelled/withdrawn during the summer housing period, they must comply with the University Student Dormitory Management Guidelines. According to the regulations, any student who has graduated, suspended their studies, been expelled, or officially withdrawn from housing must move out of the dormitory within the following mandatory timeframes: • Domestic Students: Must vacate and move out within 7 days after receiving the official approval notice. • Overseas Chinese Students: Must vacate and move out within 2 weeks after receiving the official approval notice.
During the group rooming process, the system will automatically cross-reference your bed space data across the current academic year, the summer session, and the upcoming academic year. Please read the following conditions carefully:
1. Eligibility to Request Your Current Room/Bed
You may have the opportunity to stay in your current room and bed if all of the following conditions are met:
• You are allocated to the same dormitory for the summer as your current regular academic year.
• Your current bed space is not reserved for freshman housing zones, summer camps, summer master’s programs, or dormitory renovations.
allocation outcome.During the room-grouping process, the group leader will see the option "Would you like to stay in your current room?" on the system.• Please note: Selecting this option is merely an expression of preference for the system's room allocation reference. Whether you can actually remain in your current room depends entirely onIt does not guarantee the final room allocation outcome.whether that specific room is open for the summer..
2. Situations Where Keeping Your Current Room/Bed is Not Available
The group leader will not be able to select or retain your current room and bed, and the system will not display the option "Would you like to stay in your current room?", under the following circumstances:• You did not secure a housing placement for the summer, or you were allocated to a different dormitory.• You did not reside in the dormitory during the previous semester.
• Your current bed space is closed or restricted due to being zoned for freshmen, camps, or renovations.
For detailed guidance, please thoroughly read the Room-Grouping Operation Manual.
3.3. Important Notice: No 100% Guarantee for Current Room Retention
Please be advised that staying in your current room and bed cannot be 100% guaranteed. Every summer, the university must close or adjust certain housing blocks to accommodate freshman zones, summer camps, summer master’s programs, or necessary renovations. Room allocations will be dynamically adjusted based on the overall planning at that time. Therefore, the Student Housing Service Section cannot provide a 100% guarantee for current room retention. Please ensure you fully understand this policy before deciding whether to apply for summer housing. Please read the Room-Grouping Operation Manual carefully beforehand.
Students who fail to pay their summer housing fees on time or leave them unpaid will have their room allocations canceled in accordance with regulations. Any late housing fees paid will be fully refunded to the student's personal postal account.
According to the Student Dormitory Management Guidelines, the refund policies for summer housing fees are as follows:
1. Cancellation Before the Official Move-In Date (Excluding the date itself):
Students who apply for housing cancellation before the announced move-in date will receive a full refund of the housing fee. However, the housing deposit will be forfeited (not refunded).
2. Exception for Graduation or Withdrawal: Students who must withdraw due to graduation, suspension (leave of absence), or university withdrawal (in accordance with Article 4, Paragraph 3) will receive a 1/2 (50%) refund of the paid housing fee, provided they complete all checkout procedures within 20 days of the official move-in date.
3. Students who are ordered to vacate the dormitory due to disciplinary expulsion are not eligible for these refund regulations (no refunds will be issued).
Please consider your plans carefully before deciding whether to apply for summer housing.
1. Students who have successfully secured a summer housing placement must log in to the Student Housing Application System within the designated timeframe to complete the room-grouping process. Please thoroughly read the Room-Grouping Operation Manual before starting.
2. Each student is strictly limited to one application per academic year (including the summer session) for any dorm/room transfers or bed swaps. For detailed regulations, please refer to the "Regular Waitlisting, Designated Waitlisting, and Room/Dorm Transfers" section on our website.
If a student wins a placement in the summer housing lottery but later chooses to forfeit it, the vacated bed space will be allocated to students on the waitlist in accordance with waitlisting regulations.
1. Prior to the announced move-in date, the student dormitories are still occupied by current residents. We must wait for these residents to vacate the rooms and allow time for thorough room cleaning before new students can move in. Therefore, early move-in is not permitted.
2. Due to limited public space within the dormitories and strict fire safety and disaster prevention regulations, all common areas must be kept completely clear. Consequently, we are unable to accept or store students' luggage before the official move-in date. Please plan your luggage transportation and moving schedule accordingly.
Please contact the Resident Advisor (RA) or Dormitory Coordinator of your respective building.
Due to the scheduled closure of certain dormitories for renovations during the summer break, bed capacity is strictly limited. Consequently, summer housing applications are temporarily NOT open to undergraduate, master’s, and doctoral students of the upcoming academic year who are returning students, incoming graduate students, or newly admitted freshmen. If any vacant rooms remain available after the initial allocation, the relevant application details and information for returning students, incoming graduate students, and newly admitted freshmen of this academic year will be announced on the Student Housing Service Center website at the end of June.
★Placing personal belongings on vacant beds
Vacant bed spaces in the rooms may be allocated to waitlisted students at any time. Residents are strictly prohibited from placing personal belongings on these unoccupied beds. In accordance with the University Student Housing Counseling Regulations, occupying vacant bed spaces is completely forbidden. If a violation is discovered upon inspection, a penalty of 10 points will be deducted.
